How PracFlow charges you
There are two commercial models, and which one you are on determines whether you ever see a commission charge.
| Plan | What you pay | Best for |
|---|---|---|
| Pay as you go | No subscription fee. A commission on each transaction you collect. | Starting out, or an irregular caseload where a fixed fee is hard to justify. |
| Fixed subscription | A monthly or annual fee, and no commission on transactions. | An established practice with steady volume, where commission would exceed the subscription. |
| Trial | Free for the trial period, with no commission. | Evaluating PracFlow with real bookings. |
| Free | No cost, with premium features unavailable. | Light use and evaluation. |
Separately, your practice type is either individual or teams. Team features such as team members, revenue sharing and settlements require the Teams plan. Manage all of this in Subscriptions, and review past charges in Subscription History.
Working out which is cheaper
Multiply your expected monthly takings by the commission rate and compare that with the subscription price. If commission would cost more than the fixed fee, switch. Only practice owners can change the plan.
How commission is calculated
Commission applies only on the pay as you go plan. Fixed, trial and free plans pay no commission on transactions.
| Payment mode | Default commission rate |
|---|---|
| Online payments | 7.5 percent |
| Cash payments | 5 percent |
Commission is calculated on the final price of the booking, after any discount. So a session priced at 100 with a 20 discount is charged commission on 80. Your rate may differ if a specific rate is set on your subscription, and the rates above are the platform defaults.
How commission is actually collected
This is where the gateway you chose matters, because it determines whether commission is netted off automatically or taken from your wallet.
| Situation | How commission is collected |
|---|---|
| Online payment via PracFlow Razorpay | Deducted at the time of payment. PracFlow transfers you the net amount, and you never top up a wallet. |
| Online payment via your own Razorpay, Stripe or PayPal | You receive the full amount directly, and commission is debited from your wallet. |
| Cash payment, any gateway | Debited from your wallet, since no online payment passed through. |
On a fixed plan with PracFlow Razorpay
There is no commission, but payment gateway charges and a small transfer fee still apply, because those are costs charged by the payment provider rather than by PracFlow. Your transfer shows the net amount after those.
Your commission wallet
The Commission Wallet is a prepaid balance PracFlow draws commission from when it cannot take it out of an online payment. If you are on a fixed plan, or you only use PracFlow Razorpay for online payments, you can largely ignore it.
Top up with the recharge button, which takes a card payment. Your balance also appears in the dashboard header, and PracFlow warns you when it runs low.
| Ledger entry | Effect | Why it appears |
|---|---|---|
| Recharge | Credit | You topped up the wallet. |
| Commission debit | Debit | Commission on a booking was collected from the balance. |
| Commission reversal | Credit | A booking was cancelled or refunded, so commission was returned. |
| Commission adjustment | Either | A correction to a previous commission entry. |
| Opening balance | Debit | Historical commission owed, brought into the wallet when it was introduced. |
Filter the ledger by date, entry type, direction or order reference, and export it to Excel for your records. Every entry references the booking that caused it, so you can trace any charge back to a specific session.
Keep a buffer in the wallet
Commission is debited as bookings are paid, including cash you mark received. Check the balance when you review transactions, and top up before a busy period rather than reacting to a low balance warning.
The affiliate and referral programme
Your account menu includes an Affiliate Program page with your personal referral link. Colleagues who sign up through it are attributed to you, and you can see who joined and which plan they took. The page is available to practice owners.
