Services, Packages and Pricing

Set up what clients can buy: one to one sessions, workshops, packages and digital products, with the pricing model you want.

The kinds of things you can sell

A service is anything a client can book or buy. Services separates them into tabs, because each type behaves differently once purchased.

Creating a one to one service

Most practices start here. The form has a lot of fields, but only a handful genuinely change client behaviour.

Title and description
What the client sees when choosing. Be concrete about who the session is for rather than describing your method.
Duration and buffer time
Duration is the session length. Buffer time is padding PracFlow adds after the session so back to back bookings do not leave you without a break.
Session type
Video, audio, in person, or a hybrid where the client chooses. This determines whether PracFlow needs a meeting link or a location.
Base rate
The price. Turn on a flexible rate to offer sliding scale, where the client picks an amount within a range you set.
Payment options
Whether the client pays online, pays in cash later, or books for free. You can allow more than one.
Meeting link
Have Google create a unique Meet link per session, reuse one fixed link, or add a link manually per appointment. Automatic creation requires Google Calendar to be connected.
Availability
Use your default working hours, or give this service its own hours. Useful when you only take assessments on certain mornings.
Intake form
Attach a form and choose when the client fills it in, either at booking or after confirmation.

Public and visible are two different switches

A service must be public for anyone to book it, and visible for it to be listed on your profile page. A service that is public but hidden can still be booked by anyone holding its direct link, which is exactly what you want for a service you only offer selected clients.

Selling packages of sessions

A package bundles services together at a combined price. When a client buys one, PracFlow issues redemption codes covering each included service, and the client uses those codes to book without paying again. This is the cleanest way to sell a block of six sessions upfront.

  • Choose which services are included and how many of each.
  • Set the bundle price against the cumulative price, so the discount is visible to the client.
  • Optionally set a validity period in days, after which unused sessions expire.
  • Optionally set a booking cutoff, so sessions cannot be redeemed at the last minute.
  • Optionally show the package on the confirmation screen after a one to one booking, which is the highest converting moment to offer it.

Cancellations return the session

If a session booked with a redemption code is cancelled, the code is restored to the client rather than consumed. They do not lose a session from their package.

Dynamic pricing

Dynamic Pricing lets one service carry several prices instead of a single rate. You build a configuration with variants that add to or subtract from the base price, then attach it to any service.

Typical uses are charging more for a longer version of the same session, offering a concession rate, or pricing an in person session above the video equivalent. Configurations can be activated and deactivated, so you can retire a pricing experiment without deleting the history.

Managing your service list

  • Duplicate an existing service when creating a variant, so you do not re-enter every field.
  • Reorder services to control what appears first on your public page. Put your main offering at the top.
  • Share copies the direct booking link for that service.
  • View participants lists everyone booked onto a workshop or group.
  • Delete removes the service from your list. Existing appointments and records already created from it are not affected.

Team member permissions

Whether team members can create and edit services is controlled by the practice owner in Business Settings. If a team member sees a restriction message here, the owner needs to enable that permission.
